Why a 30-Hour Whirlwind Trip Can Make or Break an Event

Most people thought I was crazy to jump on a 3:30 am flight to Port Douglas for just one night. But as an Event Director, I know the value of a good site inspection – and let me tell you, it’s always worth it. My Event Manager, Claudine, and I headed north to check out the Sheraton Mirage Resort for an upcoming conference, and here’s why those trips matter so much in event management.
1. What you see online isn’t always what you get.
Rooms and venues rarely look the same in person as they do in glossy brochures. A site visit gives you the chance to see the real deal — the layout, the feel, the flow.
2. You learn from other events in action.
We happened to catch another conference in full swing, and I even bumped into a delegate I knew from Melbourne. Their feedback was invaluable – and thankfully, mostly positive! You just can’t get that kind of insight sitting behind a laptop.
3. Food tastings = essential.
Menus that sound fabulous on paper don’t always land with delegates. Venue managers often recommend what they think works for groups, but they don’t know our clients or our audiences. For this event, with so many delegates coming from the southern states, we knew we’d need to maximise outdoor dining and sunshine. Those small details change the entire delegate experience.
4. The small things matter (like water in the car!).
After hours of travel, stepping into a hot climate and then facing another hour’s drive, hydration isn’t a luxury — it’s a necessity. A simple oversight like no water in the transfer car can impact first impressions. Spotting those details ahead of time means we can fix them for our delegates.
5. Meeting suppliers face to face.
Walking through the spaces with our AV, styling, and venue teams, and sharing our vision in person, makes all the difference. Everyone leaves aligned, and the path forward is so much smoother.
6. It helps you see through the delegate’s eyes.
From the moment they land to the moment they leave, every touchpoint matters. A site inspection lets us walk their journey and make sure it’s seamless, comfortable, and memorable.
So yes, it was a whirlwind 30 hours, but totally worth it. Because at the end of the day, site inspections aren’t just about checking a venue — they’re about shaping an experience. That’s what great event management is all about.
